Privacy Policy

Last updated: January 2025

1. Introduction

East Coast Precast, LLC ("East Coast Precast," "we," "us," or "our") is a precast concrete manufacturer headquartered in Amelia, Virginia. This Privacy Policy explains what personal information we collect through our website (eastcoastprecast.com), our sales and support channels, and our ordinary course of business; how we use and share that information; and the rights available to you.

This policy applies to personal information we collect directly from you (for example, when you submit a contact form, request a quote, or subscribe to product bulletins), information collected automatically when you visit our website (for example, through server logs and cookies), and information we receive from third parties (for example, publicly available business directory listings or referrals from existing customers and industry partners).

2. Information We Collect

Information you provide directly

When you contact us, request a quote, place an order, or subscribe to updates, we collect information you choose to give us. This typically includes:

  • Name and job title
  • Company or organization name
  • Business phone number
  • Business email address
  • Project location (city, state, ZIP)
  • Project details, quantities, specifications, and timelines
  • Any additional information you provide in the message or attachments

Information collected automatically

When you visit our website, our hosting infrastructure and analytics tools automatically collect limited technical information, including:

  • IP address (anonymized or truncated where feasible)
  • Browser type and version
  • Device type, operating system, and screen resolution
  • Pages visited and time spent on each page
  • Referring URL and search terms (where provided by the browser)
  • Access timestamps

Information from third parties

From time to time, we may obtain limited business contact information from publicly available business directory listings (such as construction industry directories, professional association member lists, or public procurement records) and from referrals introduced by existing customers, vendors, and industry partners. We treat referred contacts as prospects until they choose to engage with us.

3. How We Use Your Information

We use the personal information described above to:

  • Respond to quote requests, RFIs, and general inquiries
  • Prepare and deliver bids, proposals, and pricing information
  • Deliver order confirmations, delivery notifications, invoices, statements of account, and other transactional messages to active customers
  • Send occasional operational updates about your active projects (production status, delivery coordination, site logistics)
  • Send technical product bulletins, specification changes, and safety notices to subscribers who have opted in
  • Maintain and improve our website, our internal systems, and our service quality
  • Comply with legal, tax, and regulatory obligations, and to enforce our contracts
  • Detect, prevent, and address fraud, abuse, and other security issues

4. Legal Bases for Processing

Where the EU General Data Protection Regulation ("GDPR"), the UK GDPR, or similar laws apply to our processing of your information, we rely on one or more of the following legal bases:

  • Consent — for example, when you subscribe to product bulletins after confirming a double opt-in.
  • Contractual necessity — to prepare a quote, fulfill an order, or otherwise perform a contract with you or your employer.
  • Legitimate business interest — for example, to respond to a business inquiry from a prospect, to secure our infrastructure, or to maintain business records.
  • Legal obligation — for example, to retain tax records, respond to lawful subpoenas, or meet regulatory reporting requirements.

5. Sharing Your Information

We do not sell personal information, and we do not share it with third parties for their own marketing purposes.

We share personal information only with the following categories of recipients, and only to the extent necessary:

  • Service providers. Vendors that support our operations under a written agreement — for example, email delivery providers, website hosting providers, form-processing services, analytics providers, and cloud storage providers.
  • Professional advisors. Our accountants, auditors, attorneys, and insurance carriers, bound by professional obligations of confidentiality.
  • Business partners on your project. Where a specific project involves coordination with a general contractor, architect, engineer of record, or freight carrier, we share the information necessary to deliver the project.
  • With your consent. Any other sharing that you authorize in advance.
  • As required by law. To comply with subpoenas, court orders, government investigations, or other legal obligations; to enforce our contracts; or to protect our rights, safety, or property.

We disclose categories of recipients rather than specific vendor names because our vendor selection is reviewed periodically and may change. Current vendor information is available on request via privacy@eastcoastprecast.com.

6. Data Retention

We retain personal information only for as long as we need it for the purposes described in this policy, or for as long as is required by applicable law. Our general retention schedule is:

  • Contact form and quote inquiries — retained for three (3) years from the last interaction, unless we have an active business relationship with you, in which case the customer retention schedule below applies.
  • Customer records — retained for the life of the customer relationship plus seven (7) years after the last transaction, consistent with tax record and warranty documentation requirements.
  • Email subscription lists — retained until you unsubscribe. After unsubscribe, your address is retained indefinitely on a suppression list so that we do not re-add you accidentally.
  • Server logs and analytics data — retained for up to twelve (12) months.

7. Your Rights

Depending on where you reside, you may have some or all of the following rights with respect to your personal information:

  • Right to access. Request a copy of the personal information we hold about you.
  • Right to correction / rectification. Ask us to correct information that is inaccurate or incomplete.
  • Right to deletion / erasure. Ask us to delete personal information, subject to legal retention obligations.
  • Right to portability. Receive a copy of your information in a structured, commonly used format.
  • Right to restrict or object to processing. Limit or object to certain uses of your information.
  • Right to withdraw consent. Where processing is based on consent, you may withdraw that consent at any time.

California residents (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act and the California Privacy Rights Act give you the right to know what personal information we collect, the right to request deletion of your personal information, the right to opt out of the sale or sharing of your personal information, and the right not to be discriminated against for exercising these rights. As stated above, we do not sell your personal information and we do not share it for cross-context behavioral advertising. To exercise any California privacy right, email privacy@eastcoastprecast.com.

EU, UK, and EEA residents (GDPR / UK GDPR)

If you are located in the European Union, the United Kingdom, or the European Economic Area, you have the rights of access, rectification, erasure, restriction of processing, data portability, and objection to processing as set out under the GDPR and UK GDPR. You also have the right to lodge a complaint with a supervisory authority in your country of residence.

How to exercise your rights

To exercise any of the rights described above, email privacy@eastcoastprecast.com or write to us at the postal address listed in Section 12. We will respond within the timeframes required by applicable law (generally 30 to 45 days). We may need to verify your identity before acting on your request.

8. Cookies and Analytics

Our website uses a limited number of cookies and similar technologies:

  • Session cookies that are necessary for basic site functionality (for example, form submission and CSRF protection). These are removed when you close your browser.
  • Privacy-respecting analytics (such as Cloudflare Web Analytics or a comparable server-side analytics tool) that measure aggregate site traffic without setting persistent identifiers on your device and without collecting personal information.

We do not use third-party advertising cookies or cross-site tracking pixels. We honor the "Do Not Track" browser signal where it is legally required, and we honor Global Privacy Control ("GPC") signals as an opt-out under applicable California law.

9. Security

We maintain reasonable technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. These include encrypted transport (HTTPS across our site), access controls on our internal systems, staff training, and vendor due-diligence procedures. No system, however, is completely secure, and we do not guarantee that our security measures will prevent every unauthorized third-party attempt to access, misuse, or disclose personal information.

10. Children's Privacy

Our website and services are directed to businesses and adult professionals in the construction industry. We do not knowingly collect personal information from children under the age of 13. If you believe that a child under 13 has provided personal information to us, please contact privacy@eastcoastprecast.com and we will take reasonable steps to delete that information.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, in the services we offer, or in applicable law. The "Last updated" date at the top of this page indicates when the policy was most recently revised. If we make material changes, we will provide a prominent notice on our website (and, where required, direct notice to affected individuals) before the changes take effect.
